Position: Executive/Personal Assistant (CEO)

We are seeking a meticulous and highly attentive Assistant to support our CEO in both personal and business-related matters. The ideal candidate will provide comprehensive support to ensure efficient management of the CEO’s personal and professional responsibilities. They must possess exceptional organizational skills, demonstrate the ability to manage multiple tasks efficiently, and exercise discretion. This role is integral to allowing the CEO to focus on strategic initiatives by overseeing day-to-day administrative responsibilities, household management, and personal tasks. Given the nature of the position, availability outside of standard business hours, including evenings and weekends as needed, is required.

This role is integral to allowing the CEO to focus on strategic initiatives by overseeing day-to-day administrative responsibilities, household management, and personal tasks. Responsibilities:
· Coordinate and manage the CEO's schedule (business and personnel), including setting up meetings, appointments, travel arrangements, hotel reservations and restaurant reservations. Ensure the CEO is fully prepared for all engagements with necessary materials and information.
· Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Act as the primary point of contact between the CEO and internal/external stakeholders.
· Manage household and personal expenses. Hire and supervise household staff. Ensure the routine maintenance of homes and vehicles. Research, hire, and supervise vendors and contractors for home projects as needed. Create expense reports.
· Do shopping and running personal errands as necessary.
· Manage contact database. Buy gifts, send personal correspondence (holiday/birthday cards, etc.)
· Plan, organize, and coordinate events, meetings, and conferences. This includes arranging logistics, preparing agendas, and ensuring all events run smoothly and efficiently.
· Organize and maintain confidential files and records. Ensure all sensitive information is handled with the utmost discretion and confidentiality.
· Manage philanthropic interests.
· Assist with the care of the CEO’s dog, including walking, feeding, and ensuring the dog’s overall well-being during work hours. Coordinate any necessary appointments such as grooming or veterinary visits if needed.
· Aid with any other tasks or projects as directed by the CEO to ensure smooth daily operations.
Requirements:
· Proven experience as an executive assistant or other relevant administrative support experience, with 3-5 years in an executive assistant role with bachelor’s degree in business administration, Communications, or a related field required.
· In-depth understanding of the entire MS Office suite and other relevant software.
· Exceptional organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
· Professional-level verbal and written communication skills.
· A proactive approach to problem-solving with strong decision-making capabilities.
· High level of discretion and integrity in handling confidential information.
· Ability to adapt to changing priorities and handle unexpected challenges efficiently.
